Our Contract
When you book a tour, transfer, or charter with Urban Legends Tour Co ("we", "our", "us"), you agree to these terms and conditions.
How it works:
A contract is formed once we receive your deposit and send you a booking confirmation.
Itβs your responsibility to check all booking details carefully (time, date, location, passenger count, itinerary).

Mistakes happen, and early clarification helps us make sure everything runs smoothly for you on the day!
Fees and Charges
Deposit Requirements
Festival Transfers: Full payment (100%) at time of booking.
Private Tours, Charters, Transfers: $200 non-refundable deposit to secure your booking.
π Why?
Once we allocate vehicles, drivers, and reserve venues, costs are incurred. Your deposit covers these early commitments.
Refunds, Amendments, Postponements & Cancellations
No refunds for change of mind, missed services, bad weather, venue closures, or other external issues β unless initiated by Urban Legends.
Amendments:
We'll always try to accommodate changes (e.g., pickup time, group size) if possible.
Postponed Events:
We'll aim to transfer your booking to a new date or offer a 12-month credit (at our discretion).
Festival Transfers:
Tickets roll over if the event is postponed.
Cancellation Administration Fee Scale
30+ days notice: 0% fee
7β30 days: 10% fee
Less than 7 days: 30% fee
Deposits become a transferable credit if cancelled outside 7 days.
π Why?
Late cancellations impact multiple bookings and suppliers. Fees help cover sunk costs.
Minimum Passenger Numbers
If minimum numbers aren't met for a tour, we reserve the right to cancel and refund (less fees).
Booking Fees
1.9% booking fee
1.6% credit card processing fee
Both are non-refundable.
Scheduled Departures and Wait Times
Passengers must arrive 15 minutes before scheduled departure.
Private charters delayed by customers:
$50 charge per 15 minutes
Cancellation after 30 minutes delay (no refunds)
π Why?
Our vehicles often have multiple jobs per day. Delays cause a domino effect on everyone's experience.
Damages
Any damage caused to buses or third-party venues is payable by the customer.
Example:
Broken window = $4,500 replacement cost (payable immediately)
Ripped curtains, damaged seats = assessed and invoiced ( payable immediately on invoice)
π Why?
Luxury coaches are expensive to repair, and downtime can cancel tours booked by other customers.
Alcohol and Behaviour Policy
Drinking on the Bus
β Allowed only for private charters (point-to-point transport), with written permission obtained before the event.
β Not allowed if we have booked any venues on your behalf.
π Why?
Wineries and breweries can hold us responsible for drunk guests. Risking our partnerships could affect all future customers.
Passenger Behaviour
Remain seated while the vehicle is moving.
No abusive, disruptive, or unsafe behaviour.
Guests responsible for property damage or injury.
Wine Tour Etiquette β Buying Wine
Buying a bottle or two at tastings is strongly encouraged!
π Why?
Small family-run wineries rely on sales to survive. Tastings are heavily subsidised to make your experience special.
Dress Code
Smart-casual expected at wineries and breweries
Over-the-top costumes not permitted
Especially applies for hens, bucks, and group tours
π Why?
We respect the professional environment of our venue partners.
Over the top dress up out fits bring down the vibe of the venues and can impact the peaceful of enjoyment of other patrons including families with children which is not tolerated by most venues regardless of the occasion.
Cleaning Fees
Excessive mess = $140 minimum cleaning fee.
External Operators and Providers
We may use trusted external providers to deliver your experience.
All guests must follow the rules of third-party suppliers (e.g., wineries, breweries, venues).
Lost Property Policy
Urban Legends Tour Co is not responsible for any personal items left on board buses, at stops, or venues.
Please triple-check before leaving the vehicle.
π Why?
Tours move fast, and it's difficult to reunite lost items across multiple locations.
Force Majeure
We are not liable for cancellations, delays, or changes due to:
Natural disasters (fire, flood, storms)
Pandemics
War, strikes, road closures
Other major events beyond our control
π Why?
Some things, sadly, even legends can't control.
Late Balance Payments
Full payment for any booking is due no later than 7 days prior to departure unless otherwise agreed.
Failure to pay may result in cancellation without refund.
π Why?
We must finalise drivers, vehicles, and venues well in advance to guarantee your trip runs smoothly.
Travel Insurance
We recommend customers arrange appropriate travel insurance covering:
Cancellations
Delays
Personal property
Medical incidents
Lost or stolen items
Drug Policy
Zero tolerance for illegal drugs. Any signs of drug use will result in immediate termination without refund.
